Release Notes

  • 1099 forms have been updated for 2020. You can now manually add a 1099 form. The option to print 1099-G forms has been added. A separate Name & Address for Vendor 1099 information can now be added (Cloud Only).
  • Employer's state ID # will now print on paper W2 forms.
  • UBI field added to vendor accounts. UBI checkbox field added that can be selected if the vendor meets the mandatory training requirement for public works.
  • Permitting - Email and Alternate Email address' added as options to export to Excel
  • Cash Receipting > Invoice Control Center > Invoices. Removed the 'Setup' option from the tree. User must use either the ‘Setup’ (Classic) or the Settings Cog (Modern) on the upper righthand side of the screen.
  • Monthly Utility Totals Report - When Include NC Units is checked, SBX will increment the Customer Count as well as the Units Count for bills with no charges
  • W2s' have been updated for 2020. You can now mask the employee SSN on the employee copy. You now have have the ability to edit box 14 for COVID-19 reporting.
  • The interface and report font has been updated for cloud users. Colors have been updated for all users.
  • Reports > Use Tax Report. We have added a "Location" drop down so use taxes can be generated for different locations with different tax rates.
  • Cloud customers using the modern view only. Grant Management > Grants > Grants tab. A "Transactions" tab has been added so all transactions can be viewed.
  • Reports > Annual Reports > Schedule 15 -16. The schedule/source has been changed to a drop down list. "Local" is only an option for 2011 and earlier.
  • Reports > Check Register. The payroll filter selection for "Display Payroll Names" will now be remembered. The default is unchecked.
  • When applying additional FWT (Old W4 = Additional, New W4 = Box 4c) check amounts should no longer be reduced to less than $0.00.
  • Reports > Financial Reporting. Report options for "Exclude Beginning/Ending Bal", "All Funds", and "Show Remaining %" will now be saved when saving a report template.
  • Reports > Annual Reports > Schedule 15 -16 with "Detail For Proofing" selected can now be exported to Excel
  • Schedule 15 - 16 Grants. You can now add sub-recipient information. This information will print on the Schedule 15 -16 report.
  • You can now add a dollar sign to the check amount field when printing checks. Reports > Printer Setup/Margins > Check Setup > Check Amount Picture.
  • The Online Community link has been updated. The new web page is https://springbrooksoftware.com/community.
  • Cloud only. Grant Management > Employee Paycards. When selecting a program from the pick list while entering timecards some users are getting a runtime error. This appears to be an issue with Chrome, using SBX via Edge or the desktop app should keep this from occurring.
  • Grant clients - Accounts Payable > Add New or Edit a transaction > Distribution tab > Double click task field > Tasks screen. You can no longer add a new task from this screen. New tasks must be added via the Grant Control panel.
  • When adding a new work order and the "Meter Type" is "Electric" or "Water", and "Is Changeout" is selected, the route on the "Service Locations" tab will be updated accordingly. You can no longer create a work order and select a "Meter Type" of "Both" and select "Is Changeout", a work order for each "Meter Type" will need to be created.
  • Added additional fields and tabbed views to Permitting to enable limited integration (Push data) with the eGov permitting website.
  • Added a 3rd WCC voucher print option, WCC By ProgTask (shows as 8 in the grant list). Shows/subtotals tasks within each outcome level.
  • Cloud, modern view only. Grant Timecards - When using the cloud interface and using Advanced Payroll, SBX added an 'Approved' checkbox, Can be changed by users with 'Grants_PayCardSupervisor' rights. Will be refined as users gain experience.
  • When printing an Employee Record, the report will print the New W4 information if "New W4" is checked on the employee profile "Setup" tab, otherwise will still print the old W4 settings.
  • Cloud, Modern view only. The invoice vendor, "Account", has been added to the Grant Control Panel > Vouchers tab.
  • Reports > Budget Proposal. Negative proposed budget amounts will now print on the report.
  • Utility Billing > Reports > Utility Receipts. The payment type (Check, CC/EFT, Cash) has been added to the report and Excel export.
  • A 2nd email address has been added to the Advanced Payroll Employee Edit screen. Paystubs will be sent to the 2nd address, if populated. Useful if your organizations email server rejects emails sent to the employees with the organizations email address.
  • Timesheets imported into SBX from myExpress won't assign an hourly rate and wage for used accruals that have the 'Hourly Only' setting checked to Salaried employees.
  • Cloud, Modern view only. When using the Grants module with Advanced Payroll, the 'Payroll Adjustments' program will assign the program and task codes used in the transfer. The 'Transactions' tab of the control panel has a filter to show them.
  • Grants - When using APR, added default distribution for Programs in the Grant Setup screen (Distribution field)
  • The 'Payroll Cost' in Advanced Payroll, added additional fields to the 'Pay Items' tab to accommodate the 'American Transparency wage request' you receive all the time. Documentation has be added to the communities on how to do so, look for the "American Transparency Wage Request",https://expresshelp.springbrooksoftware.com/a/1450750-american-transparency-wage-request.Only customers on the Cloud using the modern interface have the option for "Has Wages".
  • Cash Receipting Control Panel > Transactions tab > Reconcile > Deposit Slip. You now have the option to select a printer rather than automatically going to the receipt printer. Preview, Print, PDF, or Receipt (to still send to the receipt printer). Browser users will just have the 'Print' option.
  • Cloud, Modern View only. You can now generate W9 request forms from the 1099. Documentation has be added to the communities on how to do so, look for the "1099_W9_Instructions".
  • Advanced Payroll Setup > Benefits & Deductions - Added 'Apply To Employees' option. Allows you to select the default setting and group so you can add to multiple employees.
  • Cloud, modern interface only. Advanced Payroll - Payroll Cost report. Added 'Groups' option to select multiple Groups.
  • When printing bills, the bill count and printed count did not match if Bill Copies where used and the owner had the same account number as the customer list for a given Service Location.
  • Updated the Pierce County county export to convert the country code of CA to CAN
  • Grant voucher Invoices were lost if the highlighted Program was in 'Edit' mode and the user clicked on 'Undo' after creating the voucher and invoice. User is now required to 'Save' the Program before being allowed to edit or create vouchers
  • Utility billing setup - If a user changes a 'Rate' class number, SBX will now sync the Service Locations to the new number.
  • Cloud, modern interface only. Grant Timesheets using Advanced Payroll can change the pay period to Verify and edit the Program/Task/Match/Activity Codes even if the paycard has been used in a paycheck.
  • Added the option to copy budget notes forward in the New Year Setup.
  • Biennial Budget report does not export to Excel on Cloud/Hosted, added CSV option.
  • Payroll Entries with a monthly Labor & Industries default hours requires a Pay Item with the 'Salary' check box selected or it will not work. When 'Post To GL' is selected, SBX will flag this error.
  • Pay Accounts Payable didn't range on the selected Department when writing the APs to a Transaction. Added Filter Settings to Audit Trail when written. Added Group to the list of APs in the Cloud interface.
  • Expanded Budget Reporting updated to export to CSV in the Cloud Version.
  • 5Year Budget Comparison report will now print the proposed budget when 'Suppress Zero Lines' is checked.
  • Cloud, modern interface only. The Vendor 'Type of TIN' option (EIN/SSN/ITIN/ATIN) has been added to the Vendor list information. Recommended when filing 1099's electronically.
  • All Paycard users using Advanced Payroll can select a Distribution value.
  • Added check box to Manage Meters Reads ('Dates' in classic view, 'Tab Into Dates' in Cloud modern view) that allows the user to move into the Date/Time fields using the Tab key
  • 1099 Updates

      1) 1099-NEC updated to print 3 per page.

      2) Double clicking on the account number in the 1099 list allows vendor edit.

      3) 1099 List - added vendor address to allow export to excel/merge with word.

 4) Cloud (modern interface only) has built in filter to show recipients without a W9, batch update of W9 sent.

      5) Cloud (modern interface only) can file electronically (FIRE), forms required to sent to vendors.    

  • Updated Jefferson County export to match new county requirements.
  • Cloud, modern interface only - In New Year Setup, added options dropdown to copy Budget Note to Budget Note, Budget Note to Proposed, Proposed to Proposed, Proposed to Budget Note. Budget amounts are not transferred with these settings.
  • Financial Reporting - Fixed selecting Print MTD and New page On Expense did not generate a new page on expense.
  • Cloud, modern interface only - The 'Budget Comparison' report, added an 'Export Detail' option. This allows a user to export data across 3 fiscal years which makes getting an expense list for agencies on fiscal years easier. This option does not print, just export. Added filters for Grant, Job, and Contract as well.
  • When exporting Neptune routes, a header and footer will be exported for each route.
  • Xpress import files that net to zero will now import.
  • Browse Animal List (Classic view) - Animal License Control Panel, Animal List tab - Animals with inactive customer accounts attached did not show. Account number will now be Red if the account is inactive.
  • Ctrl-F for find added to the animal license lists.
  • Manage Customer Balances and Top Utility Users - Both reports delete the existing results and build a new table. If another user has the same report open, SBX will warn you that another copy is open and not rebuild the view(s).
  • If a logo is selected in the 'System Information' screen, it will be printed on payroll stubs.
  • The import file for Airway Heights did not recognize negative values, revenue mapped to an expense account needed to have it's sign reversed in the GL.
  • PFMLA report/export - When a flat amount was added to a deduction based on a percentage, the basis did not report correctly on the Benefits Report.
  • Prior PFMLA fix required additional fix to account for deduction cap.
  • Draw checks will not have default L&I hours assigned to avoid the posting to GL error requiring a 'Salary' line. If the pay cycle type is a draw, that error is ignored as well.
  • Update Test Company works for users on 'Cloud' using the 'Hosted' setting with sufficient privileges'.
  • When updating the Winter Usage from the Calculate Winter Usage program, the audit trail showed AccountNumber not AccountSewerEstimatedWaterUse in the Item column.
  • Added the Accounts 'Phone2' to the Manage Customer Balances > Excel Export
  • The receipt printer name will now get selected for hosted users on the new server.
  • Manage Customer Balances - When using 'Print Notices' from the 'Notices' tab, a copy will not be generated if the owner account number equals the associated account number.
  • Cloud, modern interface - 'Reset' and 'Restore' buttons fixed in 'Calculate Winter Usage'.
  • Payroll Cost - Cloud, modern view only. User can filter report by selecting individual employees as well as groups.
  • Payroll Control Panel - Printing the employee list will use the group filter(s) selected when viewing the employee list. In Cloud, access to the group list was added to the Print screen.
  • Header on Treasurer's Report - Added the apostrophe to Treasure's
  • Grant Vouchers

      1) When editing Voucher detail, if you move the cursor to the top section of the voucher, SBX will commit the changes to disk automatically.

      2) If you add manual changes without calculating, SBX will write the voucher and assign it a number.

      3) Added audit trails to 'detail' changes.

      4) Cloud users will have an audit trail icon to view any audit trails on the detail from within the voucher editing screen.

      5) Any manual changes added without moving the cursor to the top of the screen will still be 'Rolled Back' if the session closes due to inactive timeout.

  • Utility Billing > Support > Update Meter Info now has the ability to mass update the Service Location Water Meter Factor.
  • Added the option to email W2's to employees using the Cloud interface, modern view only. Users are responsible for following the current regulations in IRS Publication 15-A, 'Furnishing Form W-2 to employees electronically.'
  • Employee accrual Default values were not always calculated correctly when the accrual Default Earned On and the Employee Earned On were not equal.
  • Taxable draws that exceeded the Social Security caps were having employer liability amounts written to the 941 Report.
  • Cloud, modern interface only. We have added the ability to add attachments to vendors, vendor notes, vendor invoices, employees, employee notes, utility customers, and utility customer notes. This release also features a control panel where all attachments for an area can be viewed and searched for.
  • Cloud, modern interface only. Links to Tutorials have started to be added to select Programs. If available, theicon is visible, and the program has one or more tutorials available.
  • Utility Accounts with a credit balance, new payments will now payoff any non base fee values before applying overpayment to the base values.
  • Advance Payroll - Payroll Setup > Benefits & Deductions > Added the option to change the plan number, "Change Number".
  • Advanced Payroll. Once a deduction plan has been added to an employee profile, it cannot be changed, only deleted.

  • W2s - Added the .txt extension to the MMREF file.
  • Utility Billing > Compare Monthly Readings - Cloud, Modern view - When checking the box for "Variance" you can now enter a percentage.
  • Basic Payroll - Deduction Plans > Maximum > Users can now enter 5 whole numbers, up from 4.
  • Basic Payroll > Reports > State Income Tax. Report now includes employees on the report even if they did not have any state taxes deducted on their checks so their wages will be included.
  • Animal Licenses - Animal License Renewal List > for Rabies renewals; the Postcard list will now produce the same results as the Sheet list.
  • Advanced Payroll - Basis adjustments to Unemployment entered in the Adjustments tab are now being included in the printout, export file, and AP.

  • Advanced Paryroll > Payroll Setup > Benefits & Deductions > Print - Print List filter for employee active status added.
  • Whenusing Advanced Payroll, Grant Management > Print Employee Paycards did not always include accrual totals.
  • GrantManagement - Paycard Style 7 updated to print either up to 2 weeks or a month based on the number of days in the period, updated font to make more readable. Cloud, modern view only - Print Employee Paycards also allows for an alternate date range for districts not on a monthly pay cycle but need a monthly report.
  • WorkOrders - Verified 'Change Out' cannot be selected without a valid Service Location selected.
  • TheReceipt Register and Electronic Voucher reports were updated for Yuba CA fire districts.
  • VendorControl Panel - Clicking on the 'Active' checkbox did not change the Vendor Active status.
  • AsotinStormwater Utilities - Column Header 'Fee' changed to 'Monthly' on custom utility bill, adjusted per client request.
  • ServerName added to 'About SBX' for cloud and hosted installations.
  • RedemptionJournal - Fund Column width increased slightly to accommodate long numbers.
  • Grants -Changing the 'Billing Method' when editing a Grant, the Billing Method on pay cards did not synchronize. SBX will now ask user if this behavior is desired.
  • VendorAdvice entry - only allowed up to a 9 digit number, changed to allow a 15 character string using text or numbers.
  • Electronic Vouchers - Increased the County ID field in the report for Spokane County fire districts.
  • Vendor Control Panel and Utility Control Panel > Customers tab. Added the 'Labels' option in the Cloud interface for Vendors and Utility Customers.
  • Selecting an individual W2 form did not work correctly if a Corrected Form existed for an employee.
  • 'Print Users' in the Sewer tab (Utility Setup) now works correctly.
  • Cloud, Modern view - Added default 'Months Read' to the Billing Cycles screen (Utility Billing > Billing Dates > Cycle).
  • When printing 'Jobs' (Job Control Panel > Print), filters added to enable multiple Jobs to be printed at once. Cloud interface - allows editing of inherited filters from report, On Prem - just uses selected filters.
  • 'New' GL Entries will not show inactive bank accounts in the dropdown box.
  • Xpress NSF returns. Tax will now be applied to the NSF fee if applicable.
  • Advanced Payroll > Benefits Report. When deselecting 'Has Errors' in the plan list of the 'Benefit Splits' program the center Vendor List 'Has Error' will stay in sync.
  • Reviewed/Updated Utility Class and Other User reporting to use alternate headings if required and all reports now show table of results before printing.
  • Cloud and Hosted. myExpress did not correct the date and time from the cloud servers on UTC.
  • Cloud, Modern view only. Utility Billing Control Panel > Service Locations, added the option to add attachments to service locations.
  • Printing Utility Deposits with 'Activity' selected ignored the date range if an account was selected.
  • Printing Checks from AP Batch Detail tab (Accounts Payable Control Panel > Batches) - updated logic to obtain beginning and ending check numbers.
  • Advanced Payroll - Payroll Cost - Cloud, Modern view only. Added Deduction Summary and Deduction Detail tabs to the report.
  • Advanced Payroll - Payroll Cost - Cloud, Modern view only. Changed 'Fund' tab to 'Distribution Summary' added 'Distribution Detail' and added Pay Cycle type as a filter.
  • Advanced Payroll - Payroll Cost > Pay Items. Added L&I information as options when exporting to Excel.
  • UB - Manage Customer Balances Notices - Cloud, Modern view only. When printing notices from either the 'Customer Balances' tab or the 'Notices' tab, you can select the notice to print for the account and/or owner dynamically, allowing you to use custom notices.
  • UB - Manage Customer Balances Reports/Lists - Cloud, Modern view only. When printing the 'Report' from the 'Customer Balances' tab or the 'List' from the 'Notices' tab, you can select a range using 'Routes'.
  • Grants - Increased Voucher number up to 4 digits. If a grantor requires an alpha string in front of the number, View the grant, add a voucher prefix which will be put in front of the number on forms 5 & 6.
  • Transactions > Contracts > Select Contract > Print > Date range is no longer being ignored.
